Vacancies (Admin Officer, HR Officer) - Leading Paints & Coating Factory

Vacancies 
A Leading Manufacturing placed in Soba working in Paints & Coating field looking for competent employees for two posts:-

1 - Admin Officer

To provide effective support to the Administrative Manager in ensuring that the administrative and financial resources are effectively and efficiently managed and comply with the corporate standards.
- Ensuring all drivince Licensed are up to date and renewed
- Ensure knowledge of the destination and route before departure
- Careful and safe driving at all times in line with driving standards
- Drivers are always clean and wear a clean and ironed coloths Act as the liason person with the contracted transportation company to ensure quality service is delivered to agreed standards.
• All company legal papers are renewed on time and insurance certificates obtained and kept on file
• Routine purchases ordered in good time before supplies run out.
• Handle visa applications for employees and foregin visitors .
• Regular maintenance of office equipment, furniture and fittings.
• Ensuring that there is a sufficient stock of office stationary, by monitoring distribution to staff and keeping an accurate record of usage.
• Ensure that orders for stationary are made to suppliers who are on the office approved suppliers list or have signed contracts where required.
• Ensure that all equipment in the office is maintained to a high standard. Repairs to be made promptly by competent contractors.
• Ensure that contractors carrying out service on transportation , breakfast or any servirce . The services should be timely and in accordance to the contract signed.
• Ensuring the cleaning for the companty and the production hall and yarads .
• Dealing with gorvenments offices that relating to comapny works
• Esuring that securtiy company working according to standands and policeis .
• Esuring all employees soical insurance files are up to date .
• Ensuring all medical invoice are correct to the standards.
• Enusring daily worker are avaiable in the right time and right conditions, preparing their wages .every Thursday.
• Ensure that office guests are booked into recommended hotels
• Line manage Cleaners Qualifications : Holding a Bachelor's Dgree in business administration or any related field

Experience:
Minimum 3 years’ experience in administrative functions

Technical:
- Excellent experience in IT Software – MS Office.
- Good report writing abilities.

2 - HR Officer

• Administer and maintain accurate attendance records to address poor attendance and punctuality.
• Assist in recruitment and selection process and make sure that all the company policies in this regards are met. This includes developing job descriptions, preparing advertisements, checking application forms, short listing, interviewing and selecting candidates.
• Maintain and update human resources system and personnel records to ensure confidentiality, safe-keeping, accuracy and reliability of information and records.
• Fully responsible for the receipt of resignation and/or end of contracts, prepare acknowledgements to letters or inform employee of contract end. In addition arrange Exit Interview on behalf of the department
• Promoting equality and diversity as part of the culture of the company.
• Developing policies on issues such as working conditions, performance management, equal opportunities, disciplinary procedures and absence management.
• Advising on pay and other remuneration issues, including promotion and benefits.
• Undertaking regular salary reviews.
• Administering payroll and maintaining records relating to staff.
• interpreting and advising on employment legislation;
• Annual Leave Administer the formalities of annual leave approval processing and payments, entitlements and other benefits to ensure correctness, timely processing and compliance with applicable laws & policies.
• Performance appraisal Coordinate with HR Manager to conduct quarter and annual employee performance appraisal.
Other assignments:
• Understand the local employment laws.
• Maintain, update and expand the company policies,

Qualifications:
Degree in human resources management, or business administration.
2. At least 3 to 5 years’ relevant experience

Technical:
• Proficient in HR matter.
• Able to communicate well with all levels of people.
• Good writing skills.
• Meticulous, detailed, well-organized and able to work independently to meet datelines.
• Expert user of MS Excel and numerically inclined.
• Excellent communication and interpersonal skills.
• Ability to start in short notice a strong advantage
